Metrics

EDRM Metrics Cube

The mission of the EDRM Metrics Project is to provide an effective means of measuring the time, money and volumes associated with e-discovery activities.

In addition, the Metrics model group is responsible for creating tracking, reporting and measurement protocols to assess e-discovery activities, and, to the extent metrics data becomes available, begin analysis of that data.

The Metrics project follows the e-discovery process described in the Electronic Discovery Reference Model: identification, preservation, collection, processing, review, analysis, and production, as well as the overarching project management activities that are in inherent part of any e-discovery undertaking.

Accomplishments

During the current project year the Metrics team has made great progress with several project deliverables. These elements of the project are designed to enable those involved in e-discovery activity to actively move forward with the process of effectively measuring and monitoring their projects. They include:

  • Metrics Cube Model – To help people develop a visual sense of how the metrics codes fit into the e-discovery process and how information may be measured, a 3-D model was developed that relates the metric types, aspects, and EDRM phases.
  • EDRM Metrics Code v. 1.0 – With e- discovery projects covering a wide variety and scope of information there are many different ways that activity can be measured. A code set was formulated with almost 1,500 measurement codes in a hierarchical structure to provide a basis to measure from an overview or granular level.
  • Metrics Glossary – With the wide variety of activities involved in the e-discovery process, this guide provides detailed descriptions of the codes used for measurement.
  • Metrics Tools – To further the capability to readily measure e-discovery activity, several dynamic spreadsheets have been developed to track and analyze Early Case Assessment (ECA), Review, and Collection activities by factors of volume, cost, and time.

Goals

As the project year continues, and further into the future, the Metrics group has more milestones and deliverables in its sights. Some ongoing goals are:

  • EDRM Metrics Guide – This is intended to aid those who want to track, analyze, and provide measurements relating to their e-discovery projects. It will serve as an introduction and provide best practices that cover several components of measurement, including:
    • Why measure?
    • What to measure?
    • How to measure and document?
    • Using metrics to improve your discovery process.
  • Metrics Problem Profiles – To provide tangible illustration of ways to measure and track activity in an e-discovery project, examples are being documented of select metrics challenges and goals throughout the EDRM phases using standardized problem scenarios. Having these reference materials should provide assistance setting best practices in a real life context.
  • Metrics Tools Development – The initial tools created by the Metrics team are a strong starting point to begin, or further, implementation of measurement and tracking programs. The group is working toward the availability of a standardized tool creation template based on the Metrics Codes that will enable users to make custom tracking tools.
  • ABA/LEDES Billing Codes – The LEDES Oversight Committee (“LOC”) Board has authorized the creation of a UTBMS Code Set for e-discovery as a formal project. This is intended exclusively for e-discovery purposes, separate from the recent Litigation Code Set revisions. Members of the Metrics project team will be participating in the ongoing revisions of these billing codes.
